BOOKING TERMS AND CONDITIONS
RESERVATION /BOOKING TERMS AND CONDITIONS FOR GORILLA AND WILD LIFE SAFARIS.
Reservations
All reservations are confirmed after the receipt of 10% non-refundable fee of the total cost per person .plus the full cost of Gorilla and Chimpanzee permit fees, this applies when the trip booked includes Gorilla and Chimpanzee trekking otherwise only 10 % is required to confirm the booking The balance of the price of your travel arrangements must be paid at least 30 days prior to your arrival. If the trip is booked 30 days or less to the start of the tour full payment is required at the time of trip confirmation
We will issue a confirmation invoice after receiving your deposit and when we have confirmed the arrangements with our suppliers.
Price policy
Engagi Safaris reserves the right to adjust prices of our tours at any time should there be any fluctuation in the exchange rate or unforeseen increases in the cost of any element of the tour. The company will however make every effort to minimize any increases.
Changes in transportation costs, including the cost of fuel, government taxes, park fees and exchange rates mean that the price of your travel arrangements may change after you have booked.
However, there will be no change within 30 days of your departure, no refund will be payable in this time period either. Your confirmation invoice will detail what is included in the price of your safari.
What your tour price includes
Unless otherwise stated in your itinerary or booking confirmation with us the following services are included on your tour:
All accommodation in hotels, guesthouses, tents or lodges, all meals as indicated, permit fees,activities as detailed in the itinerary, park entrance fees and ranger fees, airport transfers where provided, ground transportation, English speaking driver/guides and bottled mineral water in the vehicle.
What your tour does not include
International airfares (unless you have arranged with us to book your international travel),visa and passports, meals not mentioned in the itinerary, drinks other than the bottled mineral water provided in the vehicle, tips and gratuities for the guides and accommodation staff, laundry, travel insurance and other items of a personal nature.
Gorilla and Chimpanzee permits cancellations/refund policy
After your booking has been confirmed should you wish to make any changes to your itinerary, departure or arrival date we will accommodate your requests based on availability. And if extra costs are involved we shall advise accordingly.
In case of cancellations the following charges will apply
91 Days to the Tracking date 30% permit Cancellation is charged and 70% of the permit fees is refunded
46 to 90 Day to the Gorilla /Chimpanzee tracking date 60% cancellation fees is charged and 40% of the permits fees is refunded
30 to 45 days to the Gorilla and Chimpanzee tracking date 80% cancellation fee is charged and 20% of the permit fees is refunded
0 to 30 days of the Gorilla or Chimpanzee tracking date 100% cancellation fee is charged and no refund
Gorilla permits availability
Gorilla permits are limited it is advisable to book in advance when your booking is for a big group and visiting in high season months of June, July ,August ,September and October plus December and January
The Advisable time to book a gorilla permit is from 2 years to 3 months in advance.
Force Majeure
Should we cancel your safari, your deposit and any other payments made will be refunded in full. However, if our cancellation is due to ‘force majeure’ any reasonable expenses we have incurred will be deducted from your refund (war, civil, political unrest, natural disaster, terrorist activity is usually known as force majeure).
All refunds and compensation are strictly limited to monies paid to us and we are not liable for any expenses you have incurred as a result of this booking. Your safari will not be cancelled after the final payment is due unless we are forced to do so by force majeure.
Insurance
It is a requirement of your booking contract with us that you take out comprehensive travel insurance to cover your trip. This must cover you fully against repatriation costs, should you become too ill to continue with the tour and must, above all, cover the evacuation of yourself from remote regions, should the need arise.
We ask that you provide us with the details of your insurer, the policy number and the emergency contact details no later than 30 days prior to your arrival so that we can assist you in the unlikely event of an accident or emergency on your trip.
Please read your policy details carefully and bring them with you on your trip.
It is your responsibility to ensure that the insurance cover you purchase is suitable and adequately
covers all your needs. Please refer to our Travel tips document which we will provide you after booking confirmation.
Special Requests
We ask that any special requests be made to us in writing at the time of booking or no later than 30 days before your arrival. We will make every effort to make these arrangements for you to the best of our ability ,Until confirmation by us all special requests are subject to availability.
Complaints
We are happy to say that complaints are few and far between for us.
We aim to ensure that your trip runs smoothly however there may be time where it does not meet
your expectations.
We request that any complaint should be reported to us immediately to allow us the opportunity to
investigate and rectify the problem as soon as possible so that you can enjoy the remainder of your
holiday.

If you are still not happy on your return home. We ask that you write to us explaining in full the details of your holiday and the reason for your dissatisfaction so that we can rectify it and make sure we improve our services for future guests.
Liability
Engagi Safaris will make every effort to ensure that all arrangements and services offered as part of the safari are carried out as specified in the most efficient way possible. However, Engagi Safaris shall not be liable for any loss, damage or injury of any nature whatsoever whether to person or property. We cannot be held responsible for the direct or indirect costs of loss or damage to baggage or personal possessions.
We cannot accept liability or pay compensation for unforeseen circumstances beyond the control of the company or its staff, including flight delays/cancellations or force majeure such as war or threat of war, riots, civil disturbances, terrorist acts, border closure, acts of government or other authorities, strikes, thefts, epidemics, road closures, industrial disputes, natural or nuclear disaster, extreme weather conditions, fire, technical and/or mechanical problems to transport and all similar events beyond the company’s control.
It is your responsibility to ensure that you have the appropriate passports, visas, travel permits,health certificates and other documentation required for the tour.
It is your responsibility to take proper medical and practical precautions regarding health and safety.
It is your responsibility and a requirement of our tours that you as the Client obtain comprehensive
travel insurance before coming to Uganda.
The respective laws of the country govern Engagi Safaris’ liability to passengers carried in its own
vehicles. All claims are subject to the jurisdiction of the courts of the country in which the cause of
action arises.
Passport, Visa and immigration requirements
Passport and visa requirements, and other immigration requirements are your responsibility and you should confirm these with the relevant Embassies and/or Consulates.
We do not accept any responsibility if you cannot travel because you have not complied with any passport, visa or immigration requirements.
Behavior
We reserve the right to terminate your holiday or that of any member of your party, for any behavior that is likely in our opinion to cause distress, damage, danger or annoyance to yourself, others or our staff.
We will have no further liability to complete your holiday or travel arrangements and will not be liable for any refund, compensation or additional costs incurred by you.
Data Protection
In order to process your booking and to ensure that your travel arrangements run smoothly and meet there are requirements we need to use the information you provide such as name, address, any special needs/dietary requirements etc.We take full responsibility for ensuring that proper security measures are in place to protect your information. We may pass the information on to the relevant suppliers of your travel arrangements such as hotels, transport, activities etc. The information may also be provided to security or credit checking companies, public authorities such as customs/immigration if required by them, or as required by law.
